Design

Page Setup

Under the Page Setup group you can specify the size of your slides through a number of pre-sets or specify your own size. You can also change the orientation between portrait and landscape with just a click.

Themes

Using a choice from many available themes or by specifying your own colours, fonts and effects you can quickly give a style to your document giving it a really sharp look with a simple click.

Background

Mr. Tutor-Tech Website Design Milton Background Group PowerPointThe last group here will allow you to give a colour to your background that includes a gradient to make it look sharp. If you can’t find what you’re looking for click on the Format Background button to get a dialog box with many more options. If you chose one from the themes then you can also check off Hide Background Graphics to temporarily hide them while you continue to work on your presentation.

Transitions

Preview

When switching between slides you can add what’s called Transitions to give a special effect, once you’ve selected a transition you can preview it here by clicking on this button.

Transition to This Slide

This is where you select from the many different transitions available simply by clicking it, if you’d like to see a preview click the button we just mentioned, depending on what transition you chose you might have more options with Effect Options this is the direction in which you’d like the transition to come from.

Timing

With the timing group you can specify if you’d like to play sounds with the transitions from a list or you can pick your own from a file location. You can specify the duration of the sounds and if you should apply them to all of the slides or not. There’s also the option here to advance to the next slide with a mouse click or after a certain period of time.

Preview

Animations are used on the different objects in a particular slide, they can make things like your images or text fly in on a mouse click. This button will allow you to preview the animation you choose with the object.

Animation

Mr.Tutor-Tech Website Design Milton Animation Group PowerpointTo give an object an animation simply select the object then click on the animation you’d like to give it from the pre-sets, use the preview button to view the results and to make sure it’s the one you’d like, you can also give individual lines of text a separate animation.

Advanced Animation

Mr.Tutor-Tech Website Design Milton Advanced Animation Group PowerpointUsing the Advanced Animation group you can add other types of animations available which are broken up into the following categories entrance, emphasis, exit and motion paths. The best way to understand them all is to just play around with them. The animation pane button will present you with a pane on the right side showing you the different animations you’ve added to your project.  With the trigger you can specify a trigger when clicking on one of the other objects or if you are using a video you can add what’s called a bookmark at a certain point in the video which will trigger it. If you’d like to apply a similar animation to other objects you can select the object with the animation you like and then click on Animation Painter and then click on another object to give it the same animation effect, by double clicking the Animation Painter button it will remain on so you can continue to use it with many other objects.

Timing

Using the Timing group you can control the timing of the animation by making it quicker or longer as well as combine it with other animations so that they’ll respond at the same time.

Slide Show

Start Slide Show

When you’re ready to play your slide show you have several options in this group here, you can start from the beginning or from the current slide you are viewing. If you have internet connection you can broadcast your presentation over the internet. You’ll need a Windows Live account to do this, once you’ve logged in you’ll receive a link that you can send to other people to be able to view your presentation from their browser. The last option allows you to put together custom shows together so that you can use different parts of your presentation for different groups if you need to, after you create them simply select the one you’d like to show after.

Set Up

Using the Set Up group you can change settings applied to your slide show by clicking the Set Up Slide Show button, this will give you a dialog box where you’ll have several options to choose from, the options are pretty much self-explanatory. While presenting your presentation if you hold down the CTRL key along with your mouse pointer you’ll end up with a laser pointer that stands out, you can change the colour of the pointer here, when recording a presentation you’ll not see the mouse so if you’d like to point something out you’ll need to use the laser in it. If you’d like to hide the current slide from your slide show simply click the Hide Slide button. The Rehearse Timings button will play your slide show and keep track of the times you use to advance to the next slide, this can be used to automatically advance your presentation once you’re done. Once you have timings you can use the Record Slide Show button to save them along with adding narration if you choose to do so but you’ll need a microphone.

Monitors

When presenting your slideshow you have control over the resolution you’d like to present at, by using the drop down list you can use the current monitor setting or drop it down to a lower setting. If you have multiple monitors you can also change the one you’d like to display on and finally you also have the option of displaying on multiple monitors so that one can show you timing and speaker notes on one and the presentation on another.

Review

Proofing

With the proofing group you can check your spelling and grammar to make sure it’s correct by clicking on the Spelling button. With the Research button you can look up words using several sources to check its meaning and description. If you don’t like the word you’re trying to use, you can always check the Thesaurus for an alternate.

Language

Using the Language group you can translate words from one language to another in one of two ways. From the drop down menu you can Translate Selected Text which will give you the translation in the pane to the right or you can turn on the Mini Translator which will allow you to point at words and an overlay will appear with the translation, the Mini Translator is a toggle so you turn it on and off. To see the translation better move toward the overlay and the transparency will disappear. Your last option on them menu is to choose the default translation language. With Language you can specify your default language which will be what your dictionary uses as well.

Comments

As you’re working on your project you may feel the need to make comments for other workers to see or even for yourself as a reminder. The comments group will allow you to do just that by selecting the New Comment button a box will appear where you can write in the comment, the users name will automatically appear in this comment. You can hide the comments or show them by selecting the Show Markup button which will be disabled until there are comments made. You can also edit, delete and jump between comments with the next three buttons.

Compare

When you have two similar presentations and would like to quickly see what the difference is the Compare button will allow you to open the second presentation and will highlight the differences for you. By checking or unchecking the boxes on the highlights you’ll either approve or disapprove of these changes, it’ll also show you who worked on the file that made the changes. You can manually jump between comments by selecting them, you can use the Previous and Next buttons or use the Reviewing Pane button to turn it on/off and use the pane to the right to select the different comments. Once you’re done use the End Review button.

OneNote

The Linked Notes button in the OneNote group will allow you to make notes in OneNote that are linked to this presentation.

View

Presentation Views

The different presentation views will allow you to switch to one of the following views:

  • Normal – This is where you’ll see your slides in the left pane and the slide window in the main
  • Slider Sorter – Uses the entire window to show you slides which you can sort easily if needed
  • Notes Page – This will maximize the window so you can see any notes with it
  • Reading View – Will play your presentation inside PowerPoint

Master Views

With the Master Views group you have 3 options:

Slide Master

The Slide Master button will open up a new tab on the ribbon one with familiar tools that will allow you to make certain changes to the pages below. These are the pages you can choose or pick from on the home tab when inserting a new slide, by applying styles and other effects that you commonly use you can save time when creating a presentation by having them as a default option. Using the Insert Slide Master you can make several types of groups to choose from. You can use the default layouts given but you can also create your own using the Insert Layout and Insert Placeholder options. When you’re done simply click on the Close Master View button.

Handout Master

When you’d like to print out your slides you have the option of printing them out as a handout so that multiple slides will fit on one page along with their notes etc. Using the Handout Master you can change the way this handouts will looks and even give it some effects. All the tools here have been covered before and should be easy to figure out and use. When you’re done simply click on the Close Master View.

Notes Master

The Notes Master allows you to control the way your document will look when you select the Notes Page button under the Presentation Views group. Again when you’re done simply click on the Close Master View.

Show

There are a few tools you can use in PowerPoint to help position your content inside the slides for your presentation. This is where you can turn them on/off, you’re options here are ruler, gridlines and guides. None of these will be present on your presentation and are more or less imaginary lines to help you with positioning things straight.

Zoom

Although you can use the zoom bar at the bottom right of the PowerPoint window there are a few options under the View tab in the Zoom group. By clicking on the Zoom button a dialog box will appear with a number of options to choose from in a zoom level or you can manually specify a percentage here in the box to the right. You can also quickly make the slide zoom to the maximize size of the window by clicking on Fit to Window.

Color/Grayscale

Mr. Tutor-Tech Website Design Milton Colour Grayscale Group PowerPointBy default your presentation will be in colour but if you for some reason would like to convert it to Grayscale or Black and White you can do this using the Color/Grayscale group. Either one of these will give you an option of what types of Grayscale or Black & White scales or combinations you’d like to use. If you’d like to return back to colour just click the Back To Color View button.

Window

You can work on multiple presentations inside PowerPoint 2010, you can open the current file in a new window by simply clicking on the button. Once you have multiple windows you can arrange them using the Arrange All or Cascade button depending on how you want to arrange them. The Move Split button will allow you to use the keyboard to size the Notes pane by using the arrows on the keyboard and then pressing enter. PowerPoint will keep track of the windows you have open and you can use the Switch Windows button to get a drop down menu to choose from which ones you’d like to jump too.

Macros

Macros require you to understand Visual Basic and use code to execute certain steps with a simple click of a button. They can be quite useful when repeating steps that you do often and could potentially be worth the time invested in learning how to use them depending on what your needs are?
